1. Booking and contract

A request or draft itinerary is not a confirmed booking. A contract is formed only when Big 7 Safari Tours has accepted the booking, issued confirmation and received the required cleared deposit or other stated payment. The lead traveler confirms that they have authority to accept the terms for all travelers named in the booking and will share relevant information with them.

2. Deposits and balance payments

The required deposit, currency, payment method and balance deadline appear on the invoice. Some flights, permits, accommodations or peak-season services may require larger or non-refundable advance payments. If payment is late, Big 7 may be unable to hold services and may treat the booking as cancelled after reasonable notice.

3. Prices and statutory changes

The confirmed quotation states what is included and excluded. Prices may reflect taxes, park or conservation fees, fuel, exchange rates and supplier tariffs available when quoted. If a government authority or supplier imposes a new mandatory charge after confirmation, Big 7 Safari Tours will explain the change and the available options before requesting any additional payment.

4. Amendments by the client

Requests to change names, dates, route, accommodation or services must be made in writing. Big 7 Safari Tours will try to assist but cannot guarantee availability. The traveler is responsible for supplier amendment fees, fare differences and reasonable administrative costs disclosed before the change is finalized.

5. Cancellation by the client

Cancellation must be made in writing by the lead traveler and takes effect when received. The applicable charge depends on the cancellation date and amounts already committed to third-party suppliers. Non-refundable permits, flights, park payments and accommodation deposits may be retained. The booking confirmation should state the cancellation schedule applicable to that trip.

6. Changes or cancellation by Big 7

Travel in Tanzania depends on roads, weather, wildlife, park rules, flight schedules and supplier operations. Big 7 may make reasonable changes to protect safety or preserve the substance of the trip. If a significant pre-departure change occurs, Big 7 Safari Tours will explain practical alternatives. Refunds, credits or replacements depend on recoveries from suppliers and the circumstances; no remedy overrides mandatory law.

7. Accommodation and transportation

Named properties and vehicle types are subject to availability and operational change. An equivalent replacement may be used when necessary. Room configuration, check-in times, luggage limits, road conditions and domestic flight schedules vary. Travel times are estimates, not guarantees.

8. Park fees and permits

Entry, conservation, concession, crater, camping, hut, rescue and activity fees are included only when listed. Permits may be personal, date-specific and non-refundable. Clients must provide accurate passport details by the requested deadline.

9. Force majeure

Big 7 is not responsible for failure caused by events beyond reasonable control, including severe weather, natural disaster, epidemic, conflict, civil disturbance, government action, border closure, strike, infrastructure failure or airspace disruption. The parties will discuss reasonable alternatives, but extra costs and supplier refunds depend on the circumstances and travel insurance.

10. Client responsibilities

Travelers must follow lawful instructions from guides, rangers, skippers, crew and accommodation staff; arrive on time; behave respectfully; disclose material health, mobility and dietary information; and avoid conduct that endangers people, wildlife or property. Big 7 may end participation where behavior creates serious risk, with no automatic refund for unused services.

11. Passports, visas and immigration

Each traveler is responsible for valid passports, visas, permits, parental documents and entry requirements for every transit and destination. General guidance from Big 7 is not a guarantee of admission.

12. Insurance and health

Comprehensive travel insurance is strongly required from booking. Travelers are responsible for professional medical advice, vaccinations, medication and fitness for planned activities. Insurance must cover relevant altitude, water, wildlife and evacuation risks.

13. Wildlife, trekking and marine risk

Safaris involve wild animals, remote roads and unpredictable conditions. Kilimanjaro involves extreme altitude, cold, fatigue and potentially life-threatening illness. Zanzibar boat, snorkeling, fishing, cave and swimming activities involve water and weather risk. Participation is subject to safety instructions; wildlife sightings, summit success, sea visibility and animal encounters are never guaranteed.

14. Baggage and personal property

Travelers must meet airline and vehicle baggage limits and protect money, documents, electronics and valuables. Big 7 is not liable for loss caused by the traveler or a third party except where liability cannot lawfully be excluded.

15. Third-party suppliers

Hotels, airlines, park authorities, boat operators and activity providers deliver many trip components under their own operational conditions. Big 7 selects and coordinates suppliers with reasonable care but does not control every act or omission. Nothing in these terms removes rights that cannot be excluded by applicable law.

16. Refunds and unused services

No automatic refund is due for services voluntarily missed, late arrival, early departure, denied entry or a safety-led decision to stop an activity. Where a supplier approves a refund, Big 7 may pass it on after deducting unrecoverable costs and stated charges.

17. Complaints

Raise problems immediately with the guide or Big 7 contact so there is a fair opportunity to help. If unresolved, submit a written account with supporting evidence promptly after the trip. Delayed notice can make investigation and supplier recovery difficult.

18. Liability

Big 7 accepts responsibility only to the extent established by the booking agreement and applicable law. It does not offer unlimited liability or legal guarantees not stated in writing. Travelers remain responsible for personal decisions, insurance and compliance with safety instructions.
